Summary of duties and responsibilities: Nature of the job: Responsibilities and duties of the job: Basic Skills: • Proficiency in English and Arabic languages is required. Summary of the requirements for the job applicant: • Work experience of not less than 5 years.
Performing the routine works including welcoming customers, scheduling appointments, responding to phone calls, filing and keeping files and records and following up the implementation of the taken decisions.
• Typing letters, reports, memoranda, receiving and registering letters (in Arabic and English) and documents related to the section activities.
• Creating a system to keep the section incoming and out coming registers and referring to the in charge person those of copies related to previous correspondences.
• Reviewing the accomplished works and following up some of the decisions taken by the concerned official and informing him of the procedures taken with their regard and the achieved results.
• Making phone calls and responding to enquires that sent to the office of the direct supervisor and recording the comments.
• Keeping registers, records and files related to the section activities and following up the transactions until the necessary decisions are taken in that respect.
• Preparing stationery requests and receiving them.
• Making phone calls and responding to enquires sent to the direct supervisor office and taking notes.
• Organizing the special correspondences between the departments to which the Secretary is affiliated.
• Preparing data, forms and reports.
• Abiding by the entire applicable regulations and procedures of safety.
• Performing other works and duties related to his/her job or as required by the direct supervisor.
• Maintaining all the topics and issues confidential, keeping full honesty and reliability in work and performing all required works promptly and accurately.
• Very good writing skills.
• Basic skills in using computers and its different applications.
• Ability to write reports and work proposals in a good way.
• Knowledge of middle management skills (planning, organization, following up, instruction and decision making).
• Knowledge of computers and the essential software skills required to perform the section / coordination works.
• Having individual communication skills.
• Knowledge and awareness of the entire related laws, systems and regulations applicable in the Company.
