Under the general supervision of the Project Manager the incumbent assists in the effective and efficient management of the project through a range of actions contributing to the design, planning, management and monitoring of the activities. The Project Assistant applies and promotes the principles of results-based management (RBM), as well as a client-oriented approach consistent with UNDP rules and regulations.
The Project Assistant works in close collaboration with the Programme, Operations, Communications, Procurement, and other project teams in the Country Office (CO) for effective achievement of results, anticipating and contributing to resolving complex project-related issues and information delivery. The incumbent is expected to exercise full compliance with UNDP programming, financial, procurement and administrative rules, regulations, policies and strategies, as well as implementation of the effective internal control systems.
Duties and Responsibilities
The Project Associate in close cooperation with the project team, under the direct guidance and supervision of the Project Manager, will ensure the provision of administrative and financial services of the highest quality and standards to the project team, UNDP Country office, as well as national counterparts and clients. More specifically:
Pro-actively contribute to day-to-day project implementation and ensure conformity to expected results and project work-plans;
Provide support to international and national consultants in the implementation of their tasks for the achievement of project results (communication, contracts, agenda, visas, hotel reservations, etc);
Maintain records on all project personnel/national consultants and their respective status (contracts, ToRs, time and attendance – if appropriate, etc.) in accordance with accepted policies and procedures;
Prepare and issue contracts; Make pertinent logistical arrangements for the prompt and effective implementation of the project activities;
Arrange external and internal meetings and workshops relevant to project implementation, prepare draft minutes of meetings when needed.
Prepare requests for advance of funds and/or direct payments;
Undertake other financial and administrative tasks on an ad hoc basis.
Respond to queries with respect to financial aspects of the project, liaise with UNDP- CO staff in this regard
In accordance with the Work Plan support the procurement of equipment, supplies and services;
Advise and assist international advisors and national consultants on all aspects of allowances, travel claims and other financial matters and calculate payments due for claims and services.

Required Skills and Experience
Education:
First level University Degree in relevant fields is desirable in administration, management or other substantive area is an asset.
Experience:
Minimum six years of experience in General Administration or related field including financial management;
Excellent computer skills and ability to operate under pressure;
Experience of working in Development Sector, especially UN, would be an asset.
Language Requirements:
Fluency in English required. Arabic language skills is an asset.
